Your whole practice in one place — including the part nobody enjoys
Patient records, prescriptions, lab orders, manufacturers’ lens catalogues, lot-tracked stock, goods receipts and fiscal receipts. Plus medical-device traceability and e-invoicing, filled in by the work you already do.
Legal obligations covered from day one
Medical devices
Glasses, contact lenses and frames are medical devices. EU Regulation 2017/745 requires traceability from supplier to patient. The platform builds it as you sell.
e-Invoicing
Invoices are generated in UBL format and filed with the tax authority. Supplier invoices are pulled straight into goods receipts, product codes included. Requires connecting your tax account.
GDPR
Refraction values are health data under Article 9. They are stored encrypted, with an access log and data export on patient request.
What you do every day, without paper or spreadsheets
Every module writes to the same place, so an order started at the counter reaches the lab, the stock ledger and the receipt without re-entry.
Patients
Full record: consultation history, prescriptions, orders, warranties and appointments.
Prescriptions
Sphere, cylinder, axis, addition, prism, IOP. Base curve and diameter for contact lenses. Values are validated on entry so a typo never reaches the lab.
Lot-tracked stock
Every lot with its own expiry date. Sales automatically draw from the lot expiring first.
Goods receipts
Receive stock straight from the supplier invoice. Their product codes are learned once, then recognised automatically.
Appointments
Scheduling per consulting room and per optometrist, with overlap and availability checks.
Till and invoicing
Fiscal receipts, invoices with your own series, part payments, deposits and accounting export.
Online shop
Public storefront plus a portal where patients see their orders, prescriptions and appointments.
Reports
Sales by location, channel and staff member, with margin and period comparison.
Lens catalogue
Manufacturers’ catalogues, imported in a standard format. Check that the prescription can be made before you order, and see the recommended price.
Lens assistant
Recommends index, material, design and diameter from the prescription, the frame and the wearer’s lifestyle, without favouring any manufacturer.
Inventory
Adjustments, transfers between locations, returns, stocktakes and reservations, with the history of every stock movement.
Promotions
Discounts, buy-one-get-one offers and gifts, stackable or not, applied automatically at the sale.
From prescription to the right lens
The optician decides. The app shows what fits and what cannot be manufactured, before the order is placed.
- 01
The prescription
Powers, addition and measurements are entered once. For reading glasses the app works with the near values: sphere plus addition, and the near pupillary distance.
- 02
The assistant
From the prescription, the frame and the lifestyle, it recommends index, material, design and minimum diameter, without favouring any manufacturer. For progressives it shows the corridor length from the fitting height, and for any lens the estimated thickness at the centre and at the edge.
- 03
The manufacturer’s catalogue
Pick the lens, coating, tint or mirror from the imported catalogue. The app checks that the prescription can be made in the required diameter and shows the manufacturer’s recommended price.
- 04
The order
The lens goes on the order with its diameter and fitting height and moves on to the lab. The order is tied to the invoice and to the patient record, with nothing retyped.
Recommendations are indicative, the decision stays with the optician. Thickness is an estimate, not a guarantee of the manufactured lens. In the online shop the customer only gets a general recommendation: made-to-order and progressive lenses are passed to an optician.
When the inspector arrives, the answer is two clicks away
The supplier → lot → patient chain is built from ordinary operations. No separate register, nothing entered twice.
- 01
The lot arrives
At goods receipt you record the lot and expiry date, together with the declaration of conformity from your supplier.
- 02
The lot reaches a patient
On sale, the lot is linked to the order and the patient record. The conformity certificate prints with real data.
- 03
Recall or incident
Search by lot number and see immediately who received the product, with contact details. Incidents are reported with the full history attached.
The platform produces the records. Written procedures remain your responsibility as an economic operator — the regulator requires you to have them, but prescribes no fixed register format.
Patient data treated as health data
Not as rows in a table.
- Encrypted values
- Prescription values are stored with AES-256 encryption. Direct database access does not reveal them.
- Separate database
- Each shop has its own database. Your data is never mixed with data from another shop.
- Access log
- Who viewed or changed a medical record, and when — a requirement under Article 9.
